Set up your workflow from a template
Start from a ready-made workflow, such as a monthly client report. Fill in what's missing, then turn it on so it runs by itself.
Before you start
Steps
In the sidebar, click Workflows under Rolly. If your brand has no workflows yet, the page opens on the Templates tab.
Click a template, such as Monthly client report. A window shows what it does, when it runs and each of its steps. Steps marked Waits for approval stop until someone on your team approves them.
Click Use this template. Your workflow opens with a Draft label, and nothing runs yet.
Read the line at the top that starts with "Before it can go live". It names the first thing you need to fill in, such as "Email the client: add at least one recipient."
Click the step it names. For Email the client, tick your client under Your client. Your client is listed once you've shared your content calendar or a post with them.
Click Save. The button changes to Saved, and the "Before it can go live" line is gone once nothing is missing.
Click Turn on. You'll see "Workflow is live", and the label at the top changes to Live.
The templates you can start from
Reporting: Monthly client report, Weekly internal digest and Quarterly review. These prepare a performance report and send it to your client or your team.
Approvals: Approval nudge, which tells your team about posts that have waited more than three days, and Approved post → fresh ideas, where Rolly drafts follow-up ideas when a post is approved.
Content: Weekly gap check, Turn finished tasks into posts, Top up the idea bank, Comment triage and Weekly performance recap. In these, Rolly drafts posts, ideas or replies for you to review.
Alerts: Missing media before publish, Overdue tasks digest and Recap what we discussed. These send your team a notification in SocioRolla.
What you can change in a template
Everything. Click Details to change the name and who can approve steps. Click Trigger to change when it runs, such as the day of the month or the time. Click any step to change what it does, or use the arrows on a step to move it. Click Save after each change.
A template that runs on a schedule uses your brand's timezone. You can change it under Timezone in the trigger.
Try your workflow before you turn it on
Click Run now at the top. Your workflow runs once, even as a draft, and you can see what it did on the Runs tab. Run your workflow and check what it did shows how to read a run.
Turn your workflow off
Open your workflow and click Turn off, or click the switch next to it on the Workflows tab. It stops running until you turn it on again, and you'll see "Workflow is off".
If you can't turn on your workflow, it's likely one of these reasons
"add at least one recipient." The email step has nobody to send to. Click the step and tick your client, a teammate, or type an email address under Other email addresses.
"Your client shows here once you've shared your calendar or a post with them." You haven't shared anything with your client yet. Share your calendar with them first, or type their email under Other email addresses.
"add a subject." The email step has no subject. Click the step and type one under Subject.
"say what Rolly should do." An Ask Rolly step is empty. Click it and type what you want under What should Rolly do?
"it uses a detail from a step that was removed or comes after it." A message uses something, such as the report link, that no earlier step makes. Look for a red Missing detail in the message, then remove it or move the step below the one that makes it.
"This workflow emails people outside your team without approval" This isn't an error. One of your email steps is set to Send right away, so nobody checks it before it reaches your client. Click Turn on anyway if that's what you want, or click Cancel and pick Wait for approval in that step.
