Run your workflow and check what it did
Run your workflow by hand, see what each step did, and approve a step that's waiting for you, such as an email to your client.
Before you start
Steps
In the sidebar, click Workflows under Rolly, then click your workflow.
Click Run now at the top to run your workflow once, even if it's a draft or turned off. A message tells you to watch it under Runs.
Click Workflows at the top left, then click the Runs tab.
Click your run to open it. Each step shows a label such as Done, and what it made, such as a link to the report or "Sent to" and the email addresses.
If a step waits for approval, your run shows Waiting for approval. Read the step it's waiting on, then click Approve.
If Rolly prepared something, such as drafts or ideas, your run shows Needs review and a card under the steps. Untick anything you don't want, then click the Apply button, such as Apply 3 of 3. Your run changes to Reviewed.
Approve, skip or reject a step
Approve lets the step run, and the run carries on.
Skip this step leaves out that step, and the run carries on with the next one. You'll see "Step skipped, continuing".
Reject stops the whole run there. You'll see "Run stopped", and the run shows Rejected.
The card says when the approval expires. If nobody answers within 7 days, the run stops and shows Expired.
Approve from your notification
When a run waits for you, you get a notification that says your workflow "is waiting for your approval", with an email headed "needs your approval". Click Review the run in the email, or click the notification. The Runs tab opens with your run open and highlighted.
Only the people under Who can approve steps in your workflow's Details can approve. Anyone on your brand can, unless the workflow names specific people.
What each run label means
Queued and Running mean your workflow is working through its steps. The page checks for updates on its own.
Done means every step finished.
Needs review means Rolly prepared changes that wait for you. Nothing is saved until you apply them. Reviewed means you've done that.
Failed means a step couldn't finish. The step and the run show what went wrong in red. Fix your workflow when a run fails shows what to do next.
Rejected means someone clicked Reject, and Expired means nobody answered an approval within 7 days.
Each run also says how it started: Run by hand for Run now, Scheduled, or Triggered when something such as a published post started it.
When your workflow tells you about a run
A run that finishes without any trouble doesn't send you anything, unless it emailed your client or another address outside your team. Then you get "emailed your client" with a See what was sent button.
You also hear about a run that needs review, failed, was rejected or expired. A run on a schedule or trigger that couldn't start, such as when your AI allowance is used up, sends a notice that your workflow "didn't run". These go to whoever is under Who gets notified in your workflow's Details. That starts as you, the person who made the workflow.
If you can't approve your step, it's likely one of these reasons
"You are not one of the people who can sign off on this workflow." Your workflow only lets specific people approve, and you're not one of them. Ask one of them, or ask the person who made the workflow to add you under Who can approve steps.
"This run is not waiting for approval." Someone else answered the approval first, or 7 days passed and the run stopped. Open the Runs tab again to see what happened.
"That run is no longer here. Runs are kept for thirty days." The link you followed is for a run older than 30 days. Click Run now in your workflow to run it again.
